The GymFlex membership is for a 12-month period. Please note the membership is non-cancellable and non-transferrable.

It is important you follow these steps to ensure your membership is set up correctly. This may require you to go back into the benefits platform at your organisation to enter your GymFlex selection to ensure your salary is amended accordingly, or you may be asked to complete a form to be returned to your HR/Benefits team. Please speak to your Benefits Team if you have any questions about how to complete the second part of this process.
Once you have successfully completed the application process, you will receive an email from GymFlex confirming that we have received your application. (Please note, sometimes the confirmation email will go into your junk box.) Once the membership has been approved by your employer, we will send you a second confirmation email, on or before the 24th of the month, confirming that the membership has been approved to start the 1st of the following month. You can then expect to hear from your chosen club on or just before the 1st day of your membership.
Once your selection has been approved, your membership will be setup on or just after your membership live date. You are unlikely to hear from the club before this date. Please feel free to contact your gym after this date has passed.
We have over 3,700 gyms on our scheme. To view, please go to the GymFlex site. Once you are logged in, you can enter your postcode to search for all gyms within a 10 mile radius.

Purchasing a gym membership through GymFlex may entitle you to National Insurance Contribution savings on the value of the gym membership when compared to paying for your membership out of your net salary. These NI savings are subject to your employer operating the scheme through salary sacrifice. Some employers choose to run GymFlex from net pay. Please check with your HR/Benefits team if you have any questions regarding your tax or NI implications.
If you have a new membership starting form the 1st of the month, the club should contact you directly around this time. If for any reason you don't hear from the club, then please contact them directly in the first instance.
Each gym will operate its own rules with regards to age limits for access to the gym, but this will typically be 16 or 18. Please check directly with the gym if you have any queries regarding the age boundaries for memberships.
No. The commitment will run over the full duration of your membership.
Your membership is non-cancellable and non-transferable, as per our Terms and Conditions which you agree to when you sign up to the scheme.
Your GymFlex Membership will automatically expire at the end of the 12 month membership period. You will then have the opportunity to make a new selection should you wish to renew or change your existing membership.
You are still liable for paying the membership at the club for the remainder of the membership duration. It may be possible for you to transfer your membership to a gym within the same gym group nearer to your new home, but this is entirely at their discretion. Please be aware that if the new club is of a higher value, you will need to make a top-up payment through to GymFlex. Please speak to the team at GymFlex if you would like to discuss further, and we can provide a quote for you.
If you cease employment with your employer part way through your membership, your employer may request the balance of your membership from you when you leave. The membership will then remain yours until the end of its term. It will no longer be part of your flex or salary sacrifice scheme so you will not save the National Insurance on the remaining balance.
You cannot add your partner onto your membership partway through the 12 month commitment. You will have the opportunity to change your existing membership to a joint membership when your renewal is due. Please be aware, not every company allows employees to select a joint membership through the GymFlex scheme, so we would recommend you check with your HR team in the first instance.

Many clubs will allow you to swap your existing monthly membership over to GymFlex, even if you are in a 12 month contract. Please look for the Club Swap icon when searching for your club on the GymFlex website. If you have already paid in advance for your annual gym membership, the club is very unlikely to issue a refund for the remaining months of your membership. If the club does not display the Club Swap icon, you will need to speak to the gym before making a selection as you may be required to give notice to cancel your existing membership and your existing Direct Debit.
Once logged onto the system, if your preferred club is not shown, select ‘My Club is Not Listed’ and complete the form and we will endeavour to enrol the club onto our scheme. Our clubs team will liaise with the recommended gym, but please note, we cannot guarantee success in every case. Please note, you will only be notified if the club chooses to participate. This process could take up to 6 months - maybe more - depending on the organisation.
Requests to change your current membership must be directed to the GymFlex team.
Some clubs have made available specific "family" or "joint" memberships. These will be clearly labelled and displayed as a membership option for clubs that have chosen to do so. Other club chains have a child membership option and where this is available the description will explain what is included and the specific child rate will be listed. For other clubs, we offer a membership for you and your spouse/partner which is available when you select the “2 x Single” membership option. Your HR/Benefits team can advise you if your company allows a multiple membership to take advantage of these family, child or partner options.
No. Joint memberships all have to start at the same time. You can add a Spouse/Partner providing your company allows this when you renew your membership at the next selection date.
